20 REUNION IDEAS & TIPS

1. Start planning your reunion at least 12 months prior to the event. Book events, entertainment and hotels early.

2. Form a reunion committee or group of family members. Give each member a specific task or mission to accomplish.

3. Choose individuals from many different groups, section or current residence location.

4. Set up a bank account, P.O. Box, phone number and email address if needed.

5. Compile a list of attendee names and addresses that you already know.

6. Build a reunion website, MySpace, Facebook or other online account. List events, missing folks and old pictures.

7. Pick a theme for the reunion. Choose different themes for different nights.

8. Choose and post your reunion dates and times.

9. Create a group to search for missing classmates or family members. Post lost names online.

10. Consider age of attendees for event planning, activities, games and themes.

11. Plan and book events and tours in advance.

12. Reserve reunion sites and caterers.

13. List dates in local newspaper/Alumni Assoc and online.

14. Send out announcement postcards at 10 months and reservation letters at 6 months.

15. Ask attendees to send a current photo and place on the website. People love looking at the pictures.

16. Query class or section for a great photographer.

17. Beware of booking loud music. Attendees want to visit and renew friendships.

18. Don't plan as though everyone is married or bringing children.

19. Don't plan anything too formal. Many attendess will be uncomfortable in dressing up and may skip that event.

20. Plan on doing a booklet or scrapbook with bios or a cd of the reunion for attendees.

FORMING A REUNION COMMITTEE
1. Start about 9 months to a year ahead with a committee of about 8-10.

2. Ask one of the people to be the treasurer to collect the money, pay the bills and purchase supplies.
Supplies can include: stationary, postage, printing and web hosting.

3. You also need one to gather the information from attendees and make the reunion booklet for handout.

4. One might be in charge of reserving facilities, paying deposits and catering.

5. One should be in charge of decorations and favors or souvenirs or momentos, trivia sheets and ice breakers.

6. Someone should be in charge of registration, welcoming and name tags.

7. You need someone to handle publicity, mailers and emails.

8. If your class is short of funds, your committee might try to find a classmate who would take photos. You might also arrange for your school's current photography club, newspaper photographers, or yearbook photographers to attend your reunion and take candid photos.

9. The committee should pick a classmate to be the master of ceremonies at the events and tour leader.

10. The committee should decide on whether to have a theme and if so what it should be.

11. The committee decides on a date.

12. Your committee should be made up of classmates who live in town. When you gather them don't just call on classmates you know. A variety of different groups, i.e., sports, band, drama, class officers, etc. will give you a lot of different ideas.

13. If you had previous reunions find who had the paperwork from that one to build on. If not be sure and keep records and bank account statements for future use.

School Reunion Planning Tips
1. Plan a date depending on the age of your class. If you are of the age with children in school you will want to choose a Summer date. If children would be grown a Fall date is good. Statistics show 23% of reunions are in July and 21% in August.

2. If you are having a theme you might want your stationary, decorations and directory booklet to use the same theme.

3. Plan an entire weekend around your reunion, since many attendees will be traveling from out of town solely for the event.

4. When making name tags, make copies of pictures from the annual and paste the classs picture on the tag. This is fun and helps everyone recognize each other.

5. Create a website for an easy way to keep everyone informed of the reunion plans. Attendees can respond with information, pictures and emails. Place forms, reservation sheets, agendas, memorium lists and lost classmate information online. Consider password protecting bios and other personal information.

6. Send out postcards announcing the date at least 12 months ahead so people can start planning and save for traveling.

7. Place "RETURN SERVICE REQUESTED" above the recipient address on the postcard. This way if their address has changed the card will be returned with an address correction, if available. Print the website address and explain that a reservation and agenda letter will follow with costs and details.

8. You might invite former teachers that still live in town.

9. Reunions should be more casual, relaxing and comfortable, the older you get.

10. When you send out your reservation letter ask questions for a reunion booklet.

11. Consider age when planning events. For 50 plus reunions you probably don't want to have tours that have lots of walking. Then again if you are having a 5 year reunion you might want to plan games at a picnic.

12. You will want to set a fee for couples, a fee for singles, a fee for the full weekend and a fee for one event. Give a definite deadline for reservations and payment. Because you have to rent halls and pay catering you need to emphasize you cannot issue refunds for those who cannot attend.

13. Ask those who cannot attend to send a picture/biography and then create a bulletin board or web page with pictures of those who could not be there.

14. Book all locations months in advance so you are sure to have the best locations.

15. Check local hotels and motels for the best rates and list a few, with their cost, address, phone, fax so classmates can make reservations.

16. You can plan a reunion at the same time as a local centennial or yearly town event. Just make sure you will be able to get room reservations for everyone attending.

17. Place disposable cameras at every table and continually have your MC make announcements reminding attendees to take candid photos of each other. Once the reunion is over, post photos on a website and send links to everyone.

18. Designate different people on your committee to handle assorted projects. Have one main coordinator.

19. Plan your food menu early and book caterers months ahead.

20. Tracking down lost classmates and addresses can be the toughest project so start as soon as possible.

In addition, most major newspapers have an archive on their web site. However, only the last two weeks worth of articles are available for free.

FUNDRAISING FOR YOUR REUNION
1. Let local businesses sponsor your tables. In exchange for a contribution (maybe Php300 per table), put a placard in the center of the table which displayed the company name and info about the company.You could get a bit fancy and include their company logo. In addition, you can list the table sponsors in your reunion program, thank them when you do your announcements, prominently display a poster near the check-in table with all sponsor names, and put their names and hyperlinks on your web site.

2. Trash The Yard - Get a few people to dress up in ragged clothes. Find an old pickup truck and fill the back with yard junk. Some pink flamingoes, a toilet, car parts (preferably rusty but don't cut yourself!), whatever you might find in a cluttered messy lawn. Get some tacky lawn chairs and head out to the homes of your friends and neighbors when you know they are home. Then you pile all the stuff on the front lawn, sit yourself down and wave at passing cars and neighbors to draw attention. An added touch is an old guitar that you strum as everyone sings old country songs--loudly. In order for you to go away, the home owner has to make a donation to your cause. They definitely will!
3. Auction A Dinner - Ask for volunteers to make a single dinner. Supply the take out containers to package them into. (Pork Chops, Mashed Potatoes, a vegetable and roll) Pick a night to hold the auction. Everyone brings their dinners on that particular night. Arrange all dinners on a table so the people can see what they are bidding on. The "auctioneer" then starts the bidding. Most dinners start at $5.00 ea. You would be amazed at how much a particular dinner could go for!

4. Jar of Coins - Give a mason jar to each participant and have them drop loose coins in for several months prior to event and turn the jar in before so money can be counted.

5. Take pictures - Everybody loves to see themselves in a picture. Have everybody pose, all ham it up for a group photo, etc. and email them in for the project website. Then have other members give a dollar to their favorite picture. Have categories so people will be voting on more than just one, i.e., the best, the goofiest, the worst dressed, etc.

HOW TO GET IN SHAPE FOR YOUR REUNION

1. Don't get all undone if you are not the best looking, most perfect shaped person to go to the reunion!! BE YOURSELF is the most important thing. Everyone else has aged just like you.

2. Don't stress out if you have gained weight, there will be lots of others there who have.

3. If you are still wearing your hair like you did in school, it will be fun to get a new style for the reunion.

4. If you have gotten a little over weight and it bothers you and you have time before the reunion - set up as schedule at the Y or a gym (with permission of your physician) and do some working out

REUNION DO'S AND DON'TS

1. Do not have loud music, after all people come to visit and renew old friendships and they hate to have to talk loudly over the sound. (as you get older the chances of seeing people again gets less so make it where they can talk, after all you can listen to music anytime!).

2. Don't plan lots of dancing as you will undoubtedly have single people with no dancing partners.

3. Don't plan lots of formal events. The more casual the event, the more people seem to enjoy themselves. Also travelling with formal clothes takes up time with pressing and cleaning, etc.

4. Do have gifts for the person who came the furthest, the one who has the most kids, who has never been married, etc.

5. Do leave your crisis history (divorces, operations, etc) at home. share your joys and adventures.

6. Don't spend all your time catching up with those you’ve already known, reach out to those you haven’t seen in years. Even if you weren’t friends with them in high school, you might find, as adults, you have more things in common.

POST REUNION IDEAS

1. Let your website run for a few months with pictures from the reunion. If you can afford it keep website up permanently and update as people give you information.

2. Ask for ideas/recommendations for the next reunion

3. If this is the first reunion make a box of cards with information on each classmate. With these you can update as the years go on. Have someone keep them who will be responsible for checking obits and making update on the cards.

4. You might hand out cards to each classmate with a reminder to let you know if they move or change email. Recommend they keep these cards in their address book.

5. As you get older pay close attention to hometown obituaries for classmate names.

6. Keep any left over monies in an account that will draw you some interest.

7. Have someone keep all the records of the reunion such as budget, payments, letters of registration, etc., in one place.

When the reunion is over it is fun to have a booklet to look back on. We are giving you a guideline for a really great booklet. It is recommended to turn your paper sideways and therefore have pages back to front and make a smaller booklet.
